Salary Range

(annual salary): The Bank offers a competitive total compensation package with starting salaries, based on qualifications, generally ranging between $43,225 and $52,008* (job grade 11 or 12).

Job Summary

Under the direction of the Senior Representative (Economics), you provide multi-skilled, dedicated secretarial and administrative support to the Vancouver team of the Regional Analysis Division of the Canadian Economic Analysis Department. You are responsible for ensuring that the administrative activities of the office run smoothly, efficiently and on time. You are the first line of contact for queries related to administrative issues affecting the office from staff at the head office in Ottawa or in other regional offices.

In your capacity as Executive Administrative Assistant, you also provide critical support for two of the key activities of the Bank’s regional offices—conducting the quarterly Business Outlook Survey and disseminating the Bank’s message on monetary policy within the region. Specifically, you support the Vancouver team in carrying out the Business Outlook Survey by scheduling the interviews with companies and coordinating travel arrangements. In support of the Bank’s liaison and communication activities, you are responsible for scheduling and preparing agendas for internal and external business meetings and events with the Senior Representative (Economics) and/or senior-level Bank officials visiting the region from Ottawa.

Central Responsibilities

• select and contact companies in the British Columbia and Yukon region to request their participation in the Business Outlook Survey, schedule interviews and provide required background information
• schedule meetings across British Columbia and Yukon; prepare agendas for meetings; gather general information for meetings, speeches or other internal or external business events
• coordinate travel arrangements and ensure that all required documents are in order
• maintain several databases in Excel; gather, convert and manipulate data to generate reports
• format and edit papers, tables, reports, charts, PowerPoint presentations and other confidential material, and proofread documents before circulation, as required
• collaborate with co-workers, exchange information and provide assistance to others, as required
• reformat and convert documents, maintain employee absence reports, track external meetings and presentations, maintain stationery supplies, sort and distribute incoming mail, and direct queries to the appropriate areas
• participate in ad hoc projects and initiatives as required

Key Requirements

• post-secondary education in a field related to this position
• a minimum of two full years of work experience in the provision of administrative support services

or

• an equivalent combination of education and experience

in addition

• intermediate knowledge of Microsoft Outlook, Word, Excel and PowerPoint
• English essential
• solid knowledge of office procedures, practices and related policies, and ability to manage protected/confidential documents
• ability to communicate effectively and interact positively with individuals at all levels by demonstrating active listening skills and conveying information clearly
• ability to write clear and grammatical short documents and to convey straightforward messages; ability to proofread written documents for errors, typos, etc.
• ability to plan and organize work efficiently and effectively, anticipate needs, ask for clarification when required and react quickly in terms of arranging calendars and coordinating activities; flexibility to accommodate unexpected situations
• demonstrated ability to work independently and in a team environment where mutual support and willingness to learn are essential
• ability to maintain accuracy and attention to detail, even under pressure
• facility to use judgment and to make sound decisions when giving advice or making recommendations
• ability to support the development of knowledge and skills by sharing experiences, identifying current shortcomings and testing new methods or approaches
• ability to troubleshoot problems with computers, software and other equipment

Assets

• functional in second official language
• previous experience in cold calling
• previous experience setting up interviews for surveys
• geographic knowledge of British Columbian cities, particularly in the Lower Mainland
• knowledge of and interest in economics and financial markets
• network of relevant contacts
• advanced knowledge of Microsoft Office software
