Under the general direction of the Assistant Director and working in collaboration with another Project Administrator, you are responsible for providing a full range of project and administrative support related to the Currency Development Team’s four programs. Key team functions supported include planning, budgeting, procurement and contractual activities, and operations process improvements. Two high-priority initiatives for the two Project Administrators over the next few years are the administration and improvement of procedures for managing sensitive Bank assets, which also involves custody and control activities as well as the sale of bank notes.
•provide project administration support to team members in the delivery of their projects, including:-play a key role in the development of the team’s budget; keep track of expenses; verify and process invoices for payment; monitor/track/analyze, reconcile/adjust using own tracking documents and SAP reports, and report on progress; track and submit the month-end and year-end accruals and prepare quarterly forecasts-facilitate procurement activities; provide all documentation required and, in accordance with Bank procurement policies, put in place purchase orders and departmental purchase orders-ensure that non-disclosure agreements are in place, as required•ensure that the Bank’s sensitive assets are safeguarded appropriately, and participate in the team’s custody and control and related activities •enhance the group's efficiency and effectiveness by creating, maintaining and assisting in the preparation of a variety of high-quality documents, reports, charts and presentations; by supporting the group’s communications activities; by developing agendas; and by writing and circulating minutes as required•coordinate services with internal and external service providers, such as arranging just-in-time services needed by the team, and coordinating special events•stay abreast of the Bank’s standards and policies•provide a full range of administrative and coordination services to the team in daily activities, e.g., arranging and scheduling meetings, catering, ordering supplies, verifying expenses and handling mailings•act as a backup for the other Project Administrator or the Team’s Executive Administrative Assistant
•a minimum of two years of work-related project administration experience in a team environmentin addition•English and French essential •functional in second official language (training will be provided to help the selected candidate reach the required level of fully functional)•advanced technical knowledge and experience with Microsoft Office tools such as Word, Excel and PowerPoint•demonstrated skill in supporting the development and maintenance of the budget along with reporting, monitoring, forecasting and related analytical activities •demonstrated skill in supporting procurement activities•strong personal initiative and ability to work in a self-managed environment and be proactive, taking responsibility for ensuring that the administration of the projects or programs of the team runs smoothly and efficiently according to a high standard of excellence, even during time-pressure situations •ability to analyze information, define problems, organize work, plan the necessary resources, and take steps to carry out objectives in an efficient manner•strong attention to detail to ensure that tasks are completed, with a particular focus on accuracy and quality•strong client focus and ability to assess, prioritize and address client needs for service or information•ability to communicate effectively, orally and in writing, clearly presenting information or explanations so that they are easily understood
