Position Overview:
Under the general supervision of the Administrative Officer or Operations Manager, the position is responsible for a variety of secretarial and administrative duties to provide support to the Transportation & Environment and Saint John Water services.

Essential Qualifications:
A proficiency level of knowledge of Microsoft Office Systems.


EDUCATION, TRAINING & EXPERIENCE

A diploma in Office Administration from the New Brunswick Community College or Business Certificate 1 from the University of New Brunswick or an equivalent program.

1 year experience in a similar role is required.

Primary Purpose:
Under the general supervision of the Administrative Officer or Operations Manager, the position is responsible for a variety of secretarial and administrative duties to provide support to the Transportation & Environment and Saint John Water services.

ILLUSTRATED EXAMPLES OF WORK

Receives, directs, screens visitors and telephone calls for the front-facing facilities (Rothesay Avenue, Adeleide Street, and Rockwood Park Interpretation Centre); obtains and provides the available information or refers the caller to the proper authority

Processes work orders, monitors work order system

Books arenas, sports fields and other facility rentals

Types correspondence, memorandums, and various forms

Prepares and types specialized documents and forms

Opens, sorts, and distributes mail

Inputs payroll time entry, on an as-required basis

Maintains various data bases

Schedules and prepares boardroom and training facilities

Updates recorded messages and advises stakeholders with respect to recreation facility conditions, winter snow ban and solid waste pickup schedules

Types and maintains various by-law manuals and reports

Transcribes minutes of various meetings

Maintains the Local #18 Call-Out List for Saint John Water

Enters Customer Service Specialists’ duty log data

Makes travel arrangements and prepares travel advances

Orders office supplies and maintains stationery stockroom

Maintains key and security access maintenance records

Performs general office duties as required including keyboarding, photocopying, and filing

Uses computer, H T E related application, calculator, 2-way radio, transcription equipment, binding machine, and general office equipment

Aperçu du poste :
Sous la supervision générale de l'agent d'administration et du directeur des opérations, le titulaire du poste assume diverses fonctions de secrétariat et d'administration pour appuyer les Services de transport et d'environnement et les services de Saint John Water.

Qualifications Essentielles :
Un niveau de compétence intermédiaire (2) en français, déterminé au moyen de l'évaluation de la compétence orale en français de la province du Nouveau-Brunswick, est requis.

Connaissance approfondie des systèmes Microsoft Office.


FORMATION ET EXPÉRIENCE

Diplôme en administration des affaires du Collège communautaire du Nouveau-Brunswick, un diplôme en commerce 1 de l'Université du Nouveau-Brunswick ou un diplôme d'un programme équivalent.

Une expérience d'un an à un poste similaire est requise.
