Business Unit Information:
The City of Airdrie is presently recruiting for a full time Legislative Technician/Administrative Assistant for a term position (April through December 2017). The successful candidate will provide administrative support to the Legislative Services Team as well as coordinating activities and personnel for the 2017 City census.

Primary Accountabilities Include:
Working with the Legislative Technician, the position will provide assistance with:

- Preparation of the census questionnaire
- Census worker recruitment
- Preparing and coordinating census supplies
- Planning routes
- Training and supervising up to 40 census workers
- Site visits and delivering of supplies
- Monitoring incoming results
- Final preparation of the census report
- May also provide support in the administration of Council’s Volunteer program

Provide administrative support to both the Director, CAO’s Office and the Team Leader of Legislative Services:

- Ability to accept responsibility, interpret and make decisions in accordance with prescribed polices and legislative practices
- Maintain confidentiality, diplomacy and tact at all times
- Proactive email management through Outlook, by reading, researching and routing correspondence
- Research information for drafting letters, Council reports and documents
- Prepare correspondence and agendas
- Collect and analyze information
- Initiate telecommunications
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics
- Maintain appointment schedules through Outlook by preparing for, planning and scheduling meetings, teleconferences, and travel
- Prepare meetings, attendance and follow up
- Reconcile expense receipts to maintain records on budget expenditures
- Assist with budget preparation and complete quarterly reporting
- Respond to resident requests and inquiries, track and manage all requests to ensure customer inquiries are responded to
- In a back-up capacity, manage and monitor contracts/agreements expiry and renewal dates
- In a back-up capacity, attend meetings as required to record minutes
- In a back-up capacity, maintain an accurate log of contracts/agreements requiring execution and manage the execution process


Education/Experience Requirements:
Minimum five years of experience in a related administrative position
A minimum two years of post-secondary administrative training is an asset
Strong computer literacy is essential (MS Office Suite 2010 and Windows 7)
Valid Alberta or equivalent Class 5 driver’s license
Preference will be given to those candidates with previous experience with legislative services and supervision of others

Skilled at managing an Outlook calendar of events
Strong ability to negotiate changing and conflicting priorities and multi-task in a busy and varied environment
Excellent communication and interpersonal skills (both written and oral)
Ability to anticipate requirements and prepare background materials needed for events
Analytical reporting skills
Solid decision making skills
Proven effective supervisory abilities
Attention to detail, high level of accuracy and the ability to work independently


Additional Information:
This is a full time term position (April 2017 through December 2017) 37.5 hours per week, primarily Monday to Friday. Some evenings and weekends will be required.
