Department info:

The overall objective of Executive and Legal Services (ELS) is to provide support to the corporate governance function of the Bank of Canada. It does this by ensuring that the required information and resources are provided to effectively manage the decision-support functions for the Board of Directors, the Management Council, Governing Council, the Pension Committee and the Financial System Committee. ELS also provides appropriate legal services, administers the affairs of the Board of Directors, meets the Bank of Canada’s needs for high-calibre executive management support, manages the strategic planning process, provides support to the Management Forum, meets the Bank of Canada's obligations under the Access to Information Act and the Privacy Act, and responds to special initiatives, as required.

Job Summary

Under the general direction of the Manager, Executive Services and Protocol, you provide bilingual, multi-skilled and dedicated backup support to the Executive and Legal Services Department. You ensure smooth backup coordination of administrative support to the executives, when needed. You are a team player who excels in organizing and in planning the task at hand and who will assist the department in achieving its priorities.

Central Responsibilities:

• take initiative to enhance the efficiency and effectiveness of the administrative tasks within the department
• co-operate with co-workers, exchange information and provide assistance to other Executive Assistants
• assist with the distribution of documents
• when not in a backup role, take initiative to assist where needed
• act as administrative resource to the Procurement group
When in a backup role:
• manage the agenda; schedule and control appointments
• schedule all regular meetings; prepare the agenda for some meetings; assist with background and general information for meetings, speeches or other internal/external business events
• work with the Executive Travel Coordinator to coordinate travel arrangements and ensure that all required documents are in order
• maintain a continuous awareness of documents and information that is in circulation within the office
• establish, maintain and update the filing system according to the needs of the Executive and the Bank’s Records Management standards
• format and edit papers, tables, reports, letters and other confidential material
• proofread documents before circulation to other offices
• research information from a wide range of other sources

Key Requirements:

• a completed high school diploma and a minimum of five years of relevant work experience in an executive environment
• English and French essential
• linguistic requirement: fully functional in second official language
• demonstrated ability to work independently and as an effective team member, to take initiative, to be proactive in anticipating and responding to client needs, and to manage multiple and changing priorities
• ability to build and maintain good relations with staff at all levels
• strong computer skills in Outlook, Microsoft Word, PowerPoint
• good problem-solving skills
• strong attention to detail and ability to ensure accuracy, even as priorities change
• ability to be flexible with changing priorities, to be self-motivated and to take initiative
• excellent interpersonal and communication skills, including a facility to work and interact with individuals at senior levels
• ability to plan and organize work efficiently and effectively

• Condition of employment: Candidate must be eligible for secret status clearance.
