Scope:

The primary responsibility of this position is timely and accurate lease setup and maintenance of leases and tenant files. The role also entails the processing, auditing and on-going maintenance of data related to lease agreement, legal, business and financial terms in JDE system.

Responsibilities:

• Ensuring lease setup and billings are in accordance with Lease Administration policy and the detailed procedures outlined in the JD Edwards Property Management User Guide.

• Ensuring tenants listed on the closed deals report are setup in JD Edwards on a timely basis.

• Maintaining tenant files.

• Reviewing Lease Profile reports and obtaining the GM’s/PM’s approval.

• Explaining variances and discrepancies on the Monthly Audit Package reports.

• Providing accountants with relevant lease sections related to tenant rents, leasing costs and cost/tax recovery calculations.

• Generating monthly Rent Roll and notifying tenants of rent escalations on an on-going basis.

• Annual Global Updates and distribution of Rental Notices based on annual budgetary increases.

• Rent collection in accordance with Oxford’s Collections Procedures; cash application; AR reconciliation.

• Monthly update of AR report for management book and co-owner.

• Charge back of tenant services related invoices.

• Percentage rent processing.

• Prepare and process daily bank deposits.

• Monthly collection of sales and sales report entry.

• Unit inventory maintenance and GLA reconfiguration and reconciliation.

• Collation and distribution of Year End Adjustment invoices.

Qualifications:

• Post secondary education in Accounting or Finance preferred.
• Minimum of 2 to 3 years experience in AR/collections role.
• Experience in Property Management/Real Estate environment.
• Experience in JDE an asset.
• Excellent communication skills, detailed oriented and ability to multi-task.
• Proficient in MS Office environment.
