Scope:

The Receptionist will be involved in a public role as the initial contact to Borealis head office visitors, while working in a co-operative team environment.

Responsibilities:

•Greet guests; notify personnel of visitor arrival
•Direct incoming calls; answer or referral of all inquiries
•Ensure reception area is presentable at all times; receive and display daily newspapers; order flower arrangement weekly
•Update phone and email contact lists, provide updates to OMERS
•Coordinate courier services; monitor tracking & invoicing
•Operate electronic postage machine for all outgoing mail
•Track personal charges for employees (mail; couriers; TTC passes, etc)
•Coordinate booking schedules for internal meeting rooms; advise appropriate parties of special requirements
•Order catering for external guest meetings as per organizers' request
•Assist with administrative support and special projects as assigned by Manager, Office Services
•Review and code monthly invoices for Office Services expenditures
•Monitor and distribute cab chits
•Arrange for limousine pickup and drop off
•Liaise with building security and maintain access passes for Borealis’ premises; review card access reports; submit monthly reports to Oxford Properties
•Issue and monitor the distribution of security access cards and visitor badges
•Liaise with building maintenance service (310-MAXX) as required

Qualifications:

•Minimum two years receptionist experience
•Excellent oral and written communication skills
•Demonstrated professionalism and reliability
•Proficient use of Microsoft Office Suite
•Demonstrated commitment to customer service principles
•Excellent organizational skills
