Scope:

The Property Administration Assistant is responsible for the timely payment of all property related invoices, charge backs of tenant services invoices, monthly and year-end expenditure accruals and assisting in the preparation of annual budgets and quarterly reforecasts.

Responsibilities:

• Verification and coding of all vendor invoices, collating with POs
• Maintain construction files and track payments and balances showing status of LLW, TA, Broker & Oxford commissions as well as any Capital Project
• Filing of invoices, provide monthly and year-end accruals
• Charge-backs of tenant services related invoices
• Assist General Manager, Operations Manager, Assistant Property Manager and Property Administrator with preparation of annual budgets and quarterly reforecasts
• Process new vendor requests, asset IDs for capital and leasing projects
• Serve as back-up to Property Administrator during vacation and various absences

Qualifications:

• High school diploma, as well as a certificate in accounting and/or administration required; Bachelor’s degree in Accounting preferred
• 3 to 5 years’ experience in an accounts payable position involving multiple coding
• Experience in Property management/Real estate background preferred
• Proficient in MS Office environment (Word, Excel, Outlook).
• Fluently bilingual- both oral and written required
• Detail oriented and ability to multi-task
• Experience in JDE preferred
