Scope:

Reporting to the Property Manager, the Property Administrator will be responsible for processing, auditing and on-going maintenance of data related to lease agreement legal, business and financial terms in JDE Client System. Preparation and analysis of spreadsheets and schedules of operating expenses. Preparation and administration of leases for Centennial Place.

Responsibilities:

• Set up, update and maintain all lease related information on JDE Client Systems for Centennial Place as required for property administration.
• Prepare all Notice of Charges and related correspondence to Tenants; and preparation of leases and related documents in Oxdocs.
• Liaison with PM, APM, other PA(s), Accounting and Systems groups to identify JDE issues and/or improvements and take corrective action.
• Audit all lease documentation on on-going basis as related to JDE for completeness, providing monthly status reports as required.
• Audit Rent Control reports and Tenant Roster on monthly basis ensuring rent postings are complete and accurate, providing monthly reports as required.
• Audit building floor and area information on on-going basis, ensuring accuracy and completeness, providing monthly reports as required.
• Assist AA in maintaining tenant files, including lease documentation, obtain missing information as required.
• Assist with annual property tax reconciliation and complete annual billings; year end reconciliation of operating costs; resolving tenant operating cost disputes.
• All other duties and projects as assigned from time to time.

Qualifications:

• High School Diploma is required however Post Secondary Education in Business Administration and / or Property Management or Real Estate Lease Administration is preferred.
• Minimum of 2 years experience.
• Experience in Property Management Software and MS Office applications including Word, Excel and Outlook.
• Ability to manage priorities under pressure with careful attention to detail.
• Excellent organizational skills and attention to detail.
• Ability to prioritize and meet deadlines for changing projects.
