We are currently looking for an Administrative Assistant to join the TD Canada Trust Tower team. Reporting to the General Manager, the successful candidate must provide exceptional customer service in all interactions while providing administrative support to the management and operations team.


Reception duties – responsible for answering phones, greeting customers and guests to the Oxford management office
Code and track accounts payable in OTAP
Reconcile and bill Brookfield portion of allocable expenses and Oxford customer chargebacks
Responsible for cash receipt allocations, account reconciliation, collection of accounts receivable and reporting
Prepare bank slips for bank deposits in accordance with company policy
Assist with lease administration, including recurring and EFT generation, billing of coordination fees, customer and contractor deposits
Responsible to monitor 310-maxx response levels and call re-assignments
Input operations personnel time sheets
Assist with preparation of new vendor and cheque request forms
Collect and track customer insurance certificates
Order and maintain office and kitchen supplies
Prepare customer correspondence for review, respond to inquiries by letter, phone and email
Responsible for day-to-day operation of the office equipment, i.e. phone system, copiers, printers
Provide administrative support to management team as required, including set-up of courier service, sorting mail and Eservus ticket distribution
Other duties as assigned by General Manager


College or University Degree is preferred
2-4 years’ experience as an Administrative Assistant
Proficiency in MS Office (Word, Excel)
Knowledge of JDE and office lease related documentation
Must be able to work in a team environment
Excellent customer service and communication skills
