Scope:

Provide effective administrative support to ensure the smooth operation of the Security Department. Coordinate various programs within the department as directed by the Security Manager. From time-to-time provide a supervisory function within the department when a Manager or Supervisor is not available.

Responsibilities:

• Ensure that the Square One and Oxford customer service philosophies are met and are an important part of the everyday operation of the Security Department
• Perform certain supervisory duties from time-to-time including review of incident reports, ensuring guards are responding to calls, are arriving on time for shift, etc
• Prepare, track and maintain the purchase orders, invoices and all accounting to maintain good budget governance for the department
• Perform duties and tasks as assigned by the Security Manager, Assistant Security Manager and respond to directions from all shopping centre management
• Operational and administrative responsibilities pertaining to the mall security functions – parking control program, employee access card program, organization of fire safety drills
• Act as the departments tenant relations liaison – memos, oversee tenant communication systems (Send Word Now), inter-department project coordination
• Maintain all departmental filing, ordering of supplies; organization of personnel training as necessary
• Maintain all incident reports prepared by the department, reading each report and following up on any required course of action, comment or direction
• Work in conjunction with the Operations Administrator on liability incidents and coordinate further communication with the adjuster including scheduling security personnel interviews with the adjuster
• Assist Supervisors and Training Officer with administrative needs pertaining to personnel files, training documents, reviews, etc
• Be aware of and comply with, where applicable, all employer responsibilities prescribed under the applicable provincial Health and Safety Act
• Ensure the payment of all invoices from the department’s suppliers per company procedure
• Provide assistance in maintaining organization of offices, guard work areas, etc

Qualifications:

• Education: High school Diploma
• 3-5 years Security experience
• First Aid & CPR Certification required
• 1 year supervisory experience preferred
• Excellent MS office skills
• Good communications skills both verbal and written
