We are currently looking for an Administrative Assistant to join the TD Canada Trust Tower team. Reporting to the General Manager, the successful candidate must provide exceptional customer service in all interactions while providing administrative support to the management and operations team.
Reception duties – responsible for answering phones, greeting customers and guests to the Oxford management officeCode and track accounts payable in OTAPReconcile and bill Brookfield portion of allocable expenses and Oxford customer chargebacksResponsible for cash receipt allocations, account reconciliation, collection of accounts receivable and reportingPrepare bank slips for bank deposits in accordance with company policyAssist with lease administration, including recurring and EFT generation, billing of coordination fees, customer and contractor depositsResponsible to monitor 310-maxx response levels and call re-assignmentsInput operations personnel time sheetsAssist with preparation of new vendor and cheque request formsCollect and track customer insurance certificatesOrder and maintain office and kitchen suppliesPrepare customer correspondence for review, respond to inquiries by letter, phone and emailResponsible for day-to-day operation of the office equipment, i.e. phone system, copiers, printersProvide administrative support to management team as required, including set-up of courier service, sorting mail and Eservus ticket distributionOther duties as assigned by General Manager
College or University Degree is preferred2-4 years’ experience as an Administrative AssistantProficiency in MS Office (Word, Excel)Knowledge of JDE and office lease related documentationMust be able to work in a team environmentExcellent customer service and communication skills
