Summary of responsibilities

Reporting to the Manager of Human Resources Operations, the Administrative Assistant is an extremely organized and detail-oriented member of the HR team and must be able to provide accessible, friendly, and efficient customer service, often under demanding conditions. The Administrative Assistant contributes to a team-based approach to client service delivery, to the overall effectiveness of the HR team, and the achievement of its objectives.

In a support capacity, the Administrative Assistant will work closely with the Human Resources Administrative Support Specialist and Talent Acquisition Specialist involving recruitment, new hires onboarding, compensation and benefits and training and development. The Administrative Assistant is responsible for a broad range of administrative support to the HR department including preparing correspondence, memos, minutes and reports frequently of a confidential, strategic and/or specialized nature, reception, data input and filing.

Requirements of the job

• Minimum (2) two year community college diploma
• Excellent communication skills, both spoken and written, to communicate effectively with the public, in-person or by telephone
• Exceptional attention to detail and high level of accuracy
• Strong organizational and time management skills
• Ability to prioritize, respond to demanding workloads, change priorities and multi-task
• Desire to continually learn new skills to improve quality and efficiencies of HR processes
• Ability to work independently and cooperatively as a team
• High level of initiative and willingness to learn new skills to improve HR processes
• High standards of ethics and confidentiality
• Demonstrated proficiency in Microsoft Office applications (Outlook, Word, Excel, etc.)
• Ability to exercise sound judgment, discretion, tact and a high degree of confidentiality
• Demonstrated regular, punctual attendance
• Functional proficiency in English, oral and written

• Functional level in oral and written French
• Previous experience in an administrative capacity, preferably in Human Resources recruiting and/or operations
