The successful candidate will be providing administrative support to our fast-paced National Parts Center. Responsibilities will include issuing PO numbers, looking up part numbers, typing purchase orders and matching invoices to purchase orders.

This role may include providing rotating switchboard relief of approx. 1 hour per day. On occasion you may be required to perform these duties for 4 to 8 hours as a backup to the receptionist during vacation periods.

Role Responsibilities

- Permanent full time salary position.
- Issuing Purchase order numbers to CIMCO staff for their procurement of materials
- Complete the Purchase order by looking up part numbers in SAP for all invoices before entering the data on the system
- Communicating with vendors to follow up on these same purchase orders and obtain copies of invoices to be able to type a completed PO in our SAP system.
- Looking up part numbers in SAP for all invoice items before typing PO’s.
- Communicating with vendors throughout North America by phone or email to obtain copies of invoices or proof of delivery.
- Communicating with CIMCO staff throughout North America to resolve delivery or invoicing issues.
- Participate in weekly Continuous Improvement Team meetings
- May include daily opening of switchboard, routing incoming calls, and greeting visitors, or other switchboard relief

Required Professional Knowledge, Skills & Qualifications

- Must have minimum high school education, post-secondary education preferred
- Ability to clearly communicate in English. Bilingual (English/French) an asset
- SAP experience is preferred (Purchase orders, part numbers, invoices)
- Previous administrative support, entry level buyer, or accounts payable department experience preferred.
- Accuracy and attention to detail is imperative.
- Self-motivated & autonomous
- Ability to work in a fast-paced environment
- Above average communications skills required

-This is a full-time salaried position with shifts at various times between 8:00 am – 4:00 pm and 11:00 am – 7:00 pm.
