As a result of the COVID-19 pandemic and the need to strengthen and promote health protection to patients, staff and members of the public attending in the hospital, prior to the first day of employment with the Hospital, all successful candidates are required to provide proof of COVID-19 vaccination (full vaccination is required) from the Ontario Ministry of Health website or other authorized source. An individual is fully vaccinated if they have provided proof of vaccination in the form of a receipt from COVaxON (the Ministry’s provincial system for COVID-19 vaccination information) and 14 days have elapsed from the final dose. In the event that you are unable to be vaccinated as a result of a ground protected under the Human Rights Code, you may submit a written explanation of the ground and any supporting documentation to determine if you are exempt from this requirement.

Position Summary

Admin Assistant, Occupational Health
Performs as an administrative assistant, manages secretarial and office duties within a developing Occupational Health, Safety and Wellness Department. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.

On a practical level, you will

  • Functions as an integral part of the Occupational Health, Safety and Wellness Team within North York General Hospital.
  • Establishes and manages the office in conjunction with the department leadership .
  • Performs reception/public relations’ functions in response to calls to/from Hospital personnel and volunteers across all sites.
  • Maintains current databases, policies and procedures, activity logs and correlation of daily reporting
  • Assists with other functions as indicated by program needs, e.g. minutes taking
  • Provides clerical assistance to organize and manage Physicians appointments/requirements as they arise
  • Complies and disseminates material/documents related to Occupational Health, Safety and Wellness Department.
  • Ensures confidentiality of telephone communications and office files
  • Organizes conferences and meetings (accommodation, catering, advertisement, registration, travel arrangements, and associated financing).
  • Works collaboratively with partner departments or professional groups in educational events when appropriate and as requested by the department leadership
  • Ensures payroll, invoices, expenses pertaining to Occupational Health, Safety & Wellness are organized and brought forward for payment

Qualifications

  • College Diploma or equivalent required
  • Minimum 3 years relevant administrative assistant experience preferred
  • Accurate and efficient keyboarding skills.
  • Knowledge of computer software e.g. Word, Excel, Power Point, Access, Parklane, Sharepoint, E-Learning Software
  • Working knowledge of Individual and Team environments.
  • Good knowledge of medical terminology
  • Understanding of general Occupational Health and Safety policies/legislation and how they relate to employees, including disability management processes.
  • Ability to perform word processing, spread sheet creation, database creation and maintenance, web/internet search
  • Ability to understand and apply Hospital policy, Privacy Legislation and other guidelines and legislation as required
  • Excellent oral and written communication skills
  • Strong team player
  • Excellent organizational, priority setting and time management skills
  • Proven ability to resolve conflict and problem solve
  • Ability to maintain pleasant and professional manner while dealing with multiple and competing work priorities
