CGI-Calgary is seeking an Administrative Assistant/Receptionist to provide client and branch-level support, working collaboratively with an experienced team while also learning about CGI's operations/business.
As the ideal candidate for this role, you will have a high level of energy, professional maturity, and discretion that is second to none. You will have experience in a fast-paced professional consulting environment and have a positive and agile approach to keeping the teams you support productive and organized. You will be closely working with Vice-Presidents while also providing administrative support to the Calgary Leadership team on various tasks.



Your future duties and responsibilities
• Schedule internal and external meetings, providing proactive and real-time calendar management and coordination to VPs
• General administrative duties for a Leadership team, a group of approximately 15 individuals
• Build expense reports for VPs
• Coordinate travel arrangements for VPs
• Prepare regular updates to existing reports, and build PowerPoint presentations (weekly, monthly, etc.) that are presented to the Calgary and higher management teams
• Review / screen requests to determine priority levels, including visitors, phone calls, and correspondence. Gather, compile, verify, and analyze information for the Executive’s use in documents such as memos, letters, reports, speeches, presentations, and news releases
• Assist with organizing key events, both professional and extra-curricular
• Process purchase orders and perform other tasks within the eProcurement system
• Support Calgary's Corporate Social Responsibility (CSR) activities, Social Club, and other initiatives
• Part-time client administrative responsibilities such as invoicing, statement of work administration, training administration
• Provide relief coverage for the Executive Assistant to SVP
• Being the welcoming face of CGI Calgary (part-time reception)
• Perform reception duties in the afternoon and/or while providing relief cover for the receptionist
• At least part-time in the office (afternoons)
What you will need to succeed:
• A minimum of 5 years of directly related administrative experience, preferably in a related industry. Post-secondary education in business would be considered an asset
• Having experience working in a large corporate environment would be considered an asset
• Resourceful and intuitive self-starter, able to thrive in a fast-paced setting and enjoy multi-tasking in a technical and administrative environment
• Professional maturity, able to exercise independent judgment with absolute discretion and tact
• Resourceful, with the ability to prioritize and meet timelines with minimal direction, a proven doer
• High level of integrity, with a focus on customer service, energy, speed, and accuracy
• Excellent communication skills, both verbal and written
• Fast learner and a great team worker
• Superb planning and organizational skills
• Facilitate communications between the Executive and coworkers and between the Executive and clients, other business offices within the organization and the public
• Handle internal and external requests with confidentiality, tact and diplomacy



Required qualifications to be successful in this role
Required technical skills:
• Advanced Microsoft Office (Outlook, Word, PowerPoint, Excel and Microsoft Edge)
• Meeting and event planning/management
• Presentation preparation/coordination
• SharePoint environment
